How to Process Income Invoices Using the Invoice Scanner

Using the Invoice Scanner for Income Invoices The Invoice Scanner in Farm Focus reads invoices and extracts key details such as dates, dollar amounts, and line descriptions. The original document is also saved in Farm Focus for future reference.

Although the scanner is primarily designed for expense invoices, you can still process income invoices by making small adjustments.

Steps to Process an Income Invoice:

1. Send your income invoice to the Invoice Scanner email address.

2. Depending on the invoice, you may receive an email asking you to Review the Document. If this happens, click Fill in the Gaps to proceed.                                                                                                                                                                                                            

3. In Farm Focus, the invoice will appear with all amounts as negatives (debits).                                                                                               

4. In the green header, select Reverse amount to convert negative amounts to positive.

5. Check and update the invoice details:

   • Manually enter the Due Date, as it may be displayed as '14 days' rather than a specific date.

   • If multiple lines have been imported, select all and click Merge to consolidate them into a single line.

6. Click Save. Your invoice will now appear in the Needs Action screen as an income invoice.

Alternative Method: Create a Manual Money In Invoice If preferred, you can manually create a Money In invoice and attach the relevant documents. However, using the Invoice Scanner reduces the risk of human error by allowing you to extract details directly from the document.
