How to manage invoice lines in Farm Focus

Efficiently manage your invoice lines by sorting, filtering, bulk coding, merging, or deleting lines to streamline your workflow.

Sort invoice lines

Click any column header within an invoice to reorder the lines in ascending or descending order. You can sort by:

• Code

• GST type

• Description

• Tag

• Qty

• Line amount

The column being sorted is marked with an up or down arrow, indicating the selected order.

Filter invoice lines

You can filter invoice lines by:

• All lines

• Zero-dollar lines

• Uncoded lines

To apply a filter, click All lines in the View as dropdown and select your preferred option.

• Filtering by zero-dollar lines allows you to multi-select and bulk delete unnecessary lines efficiently.

• Filtering by uncoded lines helps identify lines that still require coding.

Select lines to bulk code or merge

To multi-select lines within an invoice:        

• Click the checkbox on the left of each line.

• To select all lines, click the checkbox at the top left-hand corner.                                                                                                                  

Bulk code invoice lines

Once multiple lines are selected, enter a code in any one of the selected lines to apply it to all.

TIP: You can enter the code in any selected invoice line.
NOTE: Bulk coding is not available for production and livestock invoice lines requiring detailed information. These codes will not be selectable.

Merge invoice lines

After selecting multiple lines, click Merge at the top of the invoice to combine them into one line.

NOTE: The first selected line's description is retained. You can edit the description if needed or select the Replace with code name icon and the extended code name will instantly override the description field.

Bulk delete invoice lines

To delete multiple lines:

1. Select the lines you want to remove.

2. Click Delete.

3. Click Save.

TIP: To delete all zero-dollar lines, filter for Zero-dollar lines in the Needs Action screen, select all lines, and delete them in bulk.

Bulk change GST state

To update the GST state for multiple lines:

1. Select the lines you want to modify.

2. Click Add GST or Remove GST as needed.

3. A warning will appear: Complete balancing to save.

4. Adjust the header amount in the Needs Action screen to ensure the invoice balances.

5. Click Save.

TIP: This is useful when the invoice lines are GST-exclusive but need to be GST-inclusive to match the invoice total.
