How to work with your Farmlands statement

our Farmlands statement provides detailed purchase information and is automatically imported into Farm Focus each month.

Why use the Farmlands statement feed?
Your Farmlands statement is automatically fed into your Actuals - Needs Action screen under the Invoices heading by the 10th of each month. This saves time and ensures accuracy when managing your farm finances.

How to code your Farmlands statement
Before moving your statement to the Completed section, each invoice line must be assigned a category and extended code.

1. Open the statement in the Invoice area of your Actuals - Needs Action screen.

2. Enter a code for each line.

3. When you have finished coding, click Save at the bottom of the invoice.

How to match your Farmlands statement to a bank transaction

Troubleshooting and FAQs

Is the total amount correct?

• The invoice amount should match the payment deducted from your bank account.

• Click the amount at the top of your Farmlands invoice to edit the total.

Do you have lines for items paid in-store?

• Items purchased and paid for in-store appear on your statement. You can:

  • Delete these lines if not needed.

  • Add a new line to reflect personal funds used for the purchase.

TIP: Adjust the total amount when adding or removing lines.

Missing information?

• Occasionally, a Farmlands invoice may arrive without all charges shown on your statement.

• Click + Add new line to manually enter the missing information.

What Farmlands card was used?

• The last three digits of your Farmlands card number appear in the description or notes section, helping identify who made each purchase.

Deferred items?

• Deferred payment arrangements are between you and your supplier.

• NOTE: Deferred expenses may not be classed as loans. Consult your accountant on whether to claim GST based on the purchase date or payment date. Click here for more information.

Returned items?

• If you returned an item for a refund, it may not appear correctly in your statement and could reduce the total deducted from your bank account.

• Contact Farmlands for clarification on charges and refunds.

Farmlands Finance
The approach to managing a Farmlands finance contract depends on its specific terms and conditions.

We strongly advise consulting your accountant for best practices.

Drawdown of loan
If using a Farm Flexi loan:

1. Code the Farmlands invoice as normal, claiming GST if applicable.

2. Change the header invoice amount to the amount you will pay.

3. Create a new line on your invoice to record the Finance Now contribution.

   • This amount is the invoice total minus your payment.

   • Create a new code under Other > Loan Repayments > Finance Now Loan.

4. Go to the Matching screen and match your Farmlands invoice with your Farmlands bank transaction.

Repayment of loan

1. Refer to your Farm Flexi loan statement for the repayment amount.

2. Code the loan repayment to the same code used when drawing down the loan.

   • Other > Loan Repayments > Finance Now Loan.

TIP: If creating a new code, refer to Add a new farm code.

How to restore a deleted Farmlands feed
If you deleted a Farmlands feed by mistake and need to restore it:

1. Go to Settings > Connectors.

2. Click into your Farmlands connector and select Disconnect Feed.

3. Return to the Connectors screen and confirm that Farmlands is no longer active.

4. Reactivate your Farmlands connection by re-entering your details.

   • Ensure the Farmlands Feed start date is BEFORE the deleted feed.

   • It may take up to 24 hours for feeds to reappear in your Needs Action screen.
